How Invoice Totals Work
An invoice total is the sum of all line items plus any applicable taxes. Each line item is calculated as quantity × rate. Add up all line items to get your subtotal. Then multiply the subtotal by your tax rate to get the tax amount. The final total is subtotal plus tax.
For example: 10 hours of consulting at $150/hr = $1,500. Add 2 hours of travel at $75/hr = $150. Subtotal: $1,650. Apply 8% sales tax: $132. Total due: $1,782.

What to Include on a Professional Invoice
Business Information
Your name or business name, email, and mailing address. Clients need this to send payment or file your contractor paperwork.
Invoice Number
A unique identifier for tracking. Start with INV-001 and increment. Some clients require this for their accounts payable systems.
Invoice & Due Date
The date you issued the invoice and when payment is due. "Net 30" means due 30 days after the invoice date — the most common B2B term.
Itemized Line Items
A description of each service or product, with quantity, rate, and total. Itemized invoices are less likely to be disputed than single-line totals.
Subtotal, Tax & Total
Always show subtotal and tax separately so clients can see how the total was calculated. This matters for their expense reporting and is legally required in many jurisdictions.
Payment Instructions
How you accept payment: bank transfer (include routing/account number), check payable to, PayPal, Venmo, or other platforms. Unclear payment instructions are the #1 cause of late payments.

Should I charge sales tax on my invoices?
