How Invoice Totals Work

An invoice total is the sum of all line items plus any applicable taxes. Each line item is calculated as quantity × rate. Add up all line items to get your subtotal. Then multiply the subtotal by your tax rate to get the tax amount. The final total is subtotal plus tax.

For example: 10 hours of consulting at $150/hr = $1,500. Add 2 hours of travel at $75/hr = $150. Subtotal: $1,650. Apply 8% sales tax: $132. Total due: $1,782.

Whether you're billing for hours, project milestones, or physical products, the math is the same. This calculator handles any combination of line items and tax rates.

What to Include on a Professional Invoice

1

Business Information

Your name or business name, email, and mailing address. Clients need this to send payment or file your contractor paperwork.

2

Invoice Number

A unique identifier for tracking. Start with INV-001 and increment. Some clients require this for their accounts payable systems.

3

Invoice & Due Date

The date you issued the invoice and when payment is due. "Net 30" means due 30 days after the invoice date — the most common B2B term.

4

Itemized Line Items

A description of each service or product, with quantity, rate, and total. Itemized invoices are less likely to be disputed than single-line totals.

5

Subtotal, Tax & Total

Always show subtotal and tax separately so clients can see how the total was calculated. This matters for their expense reporting and is legally required in many jurisdictions.

6

Payment Instructions

How you accept payment: bank transfer (include routing/account number), check payable to, PayPal, Venmo, or other platforms. Unclear payment instructions are the #1 cause of late payments.

Invoice vs. Quote vs. Receipt — What's the Difference?

Document When to Use What It Means
Quote / Estimate Before work begins A proposed price, not yet binding. Client approves it, then work starts.
Invoice After work is done (or milestone reached) A formal request for payment. Payment is now owed by the due date.
Receipt After payment is received Proof that payment was made. Marks the transaction as closed.

Frequently Asked Questions

How do I calculate an invoice total?

Multiply each line item's quantity by its rate to get line totals, then add them up for the subtotal. Multiply the subtotal by your tax rate (as a decimal) and add it. The result is the invoice total. This calculator does it instantly as you type.

What is net 30 on an invoice?

Net 30 means payment is due 30 days after the invoice date. It's the standard payment term for B2B invoices. Net 15 is more aggressive; net 60 gives clients more time but delays your cash flow. Always specify your terms explicitly — "due upon receipt" is another common option for small transactions.

Should I charge sales tax on my invoices?

It depends on your location, client's location, and the type of service. Most states don't tax professional services (consulting, design, writing), but many do tax software, SaaS, and digital products. If you're unsure, consult a tax professional. When in doubt, check your state's department of revenue website.

Can I save this invoice as a PDF?

Yes. Click "Print / Save as PDF" to open a clean print view. In your browser's print dialog, choose "Save as PDF" as the destination. The layout is formatted for standard letter paper. For ongoing invoicing, consider a dedicated invoicing app like FreshBooks or Wave.

How many line items can I add?

As many as you need. Click "Add Line Item" to add more rows. Each row updates the subtotal, tax, and total automatically. Itemized invoices are easier for clients to approve and less likely to be disputed than a single lump-sum line.
